Information for Exhibitors

All exhibit spaces are tabletop only. The walls behind the tables may normally be used to display posters, etc (subject to non-destructive fixture).
The tables are approximately 6 feet long x 2.5 feet wide and are covered with a white cloth. Two chairs are provided per table.
All exhibition tables are in the Venetian Room (which is also used for conference breaks, cocktail and lunches).

An electrical power socket will be provided for each exhibitor, and the Venetian Room is provided with WiFi internet connectivity for exhibitor use.

Exhibitors wishing to rent equipment such as video monitors etc may contact Jennifer Nagy at the hotel conference facilities (contact details below).

Equipment may be sent in advance to the conference venue (Fairmont Copley Plaza Hotel). Please note that exhibitors will be responsible for all charges connected with receipt, storage and dispatch of any and all exhibition items and packages.

Each exhibitor is entitled to one Product Presentation intervention during the main conference sessions. Each such presentation will be scheduled in advance in the program and be limited to a strict time slot (6 minutes). Product Presentations should be designed to entice conference participants to see something new or exciting at your exhibition space.

Meals and Conference Attendance

The exhibition space fee this year is only US$900 for the two days, so we regret that this cannot include meals or conference attendance for exhibitor staff. Exhibitor staff who just wish to man the exhibition stand without joining the conference, lunches or receptions do not need to register or to pay any additional fees. Exhibitor staff who wish to join in the conference have two options:

• Exhibition staff wishing to join the conference attendees and speakers for lunches and receptions are asked to pay a supplementary charge of $125 per person for a meal-pass badge (full two days).
• Exhibition staff wishing to enter the conference room to join in the conference sessions must pay a half-price conference registration charge ($450) for an exhibitor conference badge (which also includes all meals and receptions). Please complete the normal conference booking form, marking it "exhibitor meal pass" or "exhibitor half-rate conference pass". Half-rate conference passes are limited to a maximum of two per exhibitor (after that, normal conference rates apply).
